Telecommunications: Voicemail

This article walks you through the process of setting up your Voicemail, changing the password for your Voicemail and the various features related to Voicemail.

Before You Begin

This document provides the following:

  • A link to changing your voice portal password online.
  • Instructions to setup your new voicemail box.
  • Instructions to change the busy, no answer, and extended away greetings.
  • A list of voice portal menu options.

 

Voicemail

CHANGE YOUR VOICE PORTAL PASSCODE ONLINE

Passcode Rules

  • Cannot be your extension or phone number 
  • Cannot be the reversed phone number 
  • Cannot contain five or more repeated digits  
  • Cannot contain more than three sequentially ascending or descending digits 
  • Must be at least six characters and no more than 12 characters 

INITIAL SETUP

From your desk phone: 

  • Press the Voicemail key.  
  • When prompted, enter the default voice portal passcode of 996200#   
  • Follow prompts to change your passcode.  
  • New passcode: 
    • Cannot be your extension or phone number 
    • Cannot be the reversed phone number 
    • Cannot contain five or more repeated digits  
    • Cannot contain more than three sequentially ascending or descending digits 
    • Must be at least six characters and no more than 12 characters 
  • Immediately after setting up your passcode, you will be prompted to record your Personalized Name. Follow the system prompts.

From your Soft Client (Communicator):

  • Dial the Telephone User Interface (TUI) phone number (919-918-1818) or 
    • (Desktop Soft Client only)
      • Select “Calls” from the top menu of the Client application.
      • Select “Voicemail” at the bottom of the drop-down menu.
      • Select “Call”.
  • When prompted, enter the default voice portal passcode of 996200#
  •  Follow prompts to change your passcode.  
  • Immediately after setting up your passcode, you will be prompted to record your Personalized Name. Follow the system prompts.

From an alternate phone, such as a cell phone: 

  • Dial the Telephone User Interface (TUI) phone number (919-918-1818): 
  • Enter the mailbox ID: Enter your 10-digit phone number followed “#.”  
  • When prompted, enter the default voice portal passcode of 996200#
  •  Follow prompts to change your passcode.  
  • Immediately after setting up your passcode, you will be prompted to record your Personalized Name. Follow the system prompts.

*After initial setup, enter the permanent passcode when prompted.

HOW TO CHANGE THE BUSY AND NO ANSWER GREETING FROM DEFAULT:

  • CUSTOMERS ARE REQUIRED TO RECORD TWO GREETINGS – BUSY AND NO ANSWER. 
  • THE SYSTEM DEFAULT GREETING FOR BUSY AND NO ANSWER, IF SELECTED, WILL PLAY THE CUSTOMER RECORDED NAME TO DISTINGUISH THE MAILBOX.

Busy Greeting - Greeting callers will hear this greeting if you are on another call. 

No Answer Greeting - Greeting callers will hear this greeting when you do not answer your phone.

Extended Away Greeting - Set a greeting for extended absences. You must activate before you leave and deactivate when you return. 

**Note that callers cannot leave a voice message when the extended away greeting is activated.** (This setting can be changed if requested.) 

Follow one of the steps above to access your voicemail box.

Select option #1 to access your voicemail box after logging on. 

To change the Busy Greeting:

  • Press 2 and follow system prompts.

To change the No Answer Greeting:

  • Press 3 and follow system prompts.

To Change the Extended Away Greeting:

  • Press 4 and follow system prompts.

Voice Portal Menu Options: 

Press 1 Access Voicemail Box 

Sub Menu

  1. Listen to Messages (** This option is not valid if you have voicemail forwarding to email enabled.)
  2. Change mailbox busy greeting.
  3. Change mailbox no answer greeting.
  4. Change mailbox extended away greeting.
  5. Compose/send new message. (Allows you to send the same message to multiple mailboxes without calling each number)
  6. Delete all messages.
  • To go back to the Voice Portal Menu Options, press * key.
  • To repeat the Sub Menu, press # key 

Press 3 Access Voicemail Greeting Menu (To record your Name)
Press 5 Record a New Announcement (Option only used for Hunt group, Auto Attendant and Call Center)
Press 8 Change Passcode         
Press 9 Exit     
Press # Repeat Menu   

Voice Portal Menu Options while listening to a message:

Press 1 Skip backwards 3 seconds
Press 2 Pause/resume Playback
Press 3 Skip forward 3 seconds
Press 4 Skip to beginning of message
Press 5 Play Message Envelope (the date and time the message was received, and phone number it was received from)
Press 6 Skip to end of Message

Voice Portal Menu Options after playing a message:

Press # Save Message
Press 7 Erase Message
Press 2 Repeat Message
Press 5 Play Message Envelope
Press 9 Additional options (Replay to Message and Forward Message)
Press * Go back to Previous Menu
