TDX Departmental Hardware Asset is a shared and centralized IT asset management solution provided at no cost to departments. It enables departments to efficiently track, manage, and report on IT asset activities, offering features such as:
- Assignment Tracking - Identify to whom assets are issued.
- Location and Warranty Management - Track asset locations and warranty coverage.
- Lifecycle Monitoring - Assess the lifecycle stage of assets.
- Asset-Ticket Linking - Associate assets with support tickets.
- Unique QR Codes - Generate a QR code for each asset record.
- Reporting and Dashboards - Provide tailored reports and dashboards for asset agents and managers.
As part of the TeamDynamix (TDX) platform, TDX Departmental Hardware Asset leverages existing platform data, including:
- User and location information.
- Assigned responsible groups.
- Department and account details.
Asset Visibility and Permissions
- TDX Agents: Can view all asset records across departments and associate tickets with assets.
- Asset Managing Staff: Can view and edit all asset records, regardless of departmental ownership. They can also create custom reports and dashboards tailored to the assets they manage.

All roles can execute their authorized actions on all asset records, irrespective of departmental ownership. These actions are automatically logged in the asset feed to ensure a complete audit trail.
Service Limitations
TDX Departmental Hardware Asset service has the following limitations:
- Barcode generation is not supported; however, QR code generation is available.
- Licensing for automated discovery for hardware and software is unavailable.
- Automated software tracking is unsupported; however, manual tracking via custom columns is possible.
- Custom integrations with third-party systems (e.g., Jamf, Active Directory, SCCM) are outside the scope.
- Protected Attributes are available with certain limitations.
- They do not appear in reports or dashboards.
- They cannot be used as search filters.
- They do not drive attribute dependencies.
- They are excluded from the TDWebAPI.
- They do not trigger notifications.
- Changes made to them are not logged in the activity feed.
- They cannot be included in templates.
Support, Governance, and Responsibilities
Operational Support
The TDX Admin Team provides support for:
- Support Requests: Resolving tickets submitted by departmental asset agents.
- Help Articles: Maintaining documentation for standard procedures like adding or updating assets.
- Agent Training: Offering onboarding training for new asset agents.
- Reporting Assistance: Helping departments create customized reports and dashboards.
Service Governance
The TDX Departmental Asset Governance Group, comprising representatives from user groups, exists to support unified, campus-wide asset management process. Customization requests are reviewed by the governance group to ensure platform consistency, uniform service configuration, and attributes standards are maintained.
Departmental Responsibilities
Departments using TDX Departmental Asset are expected to:
- Assign a primary contact for communications and governance meetings.
- Create help articles for department-specific needs.
- Train future asset agents within the department.
- Manage assets by:
- Adding/updating assets records manually after initial inventory import and ensure 'Supported by' attributes are populated.
- Modifying only the assets they own and manage.

Requesting the Service

Once you commit to using TDX Departmental Asset, the onboarding process begins, which includes importing your departmental asset inventory and training for new asset agents.
